Effective date: 29 October 2026

1. Purpose and scope

This policy explains how customers may cancel their in2books subscriptions, how cancellation charges and refunds are calculated, and how affiliate commissions may affect refunds.

It applies to monthly and annual in2books subscription plans, subject to the terms of the relevant subscription and applicable South African law.

Nothing in this policy excludes, limits or waives a consumer right that cannot lawfully be excluded, including rights under the Consumer Protection Act 68 of 2008 (CPA) and the Electronic Communications and Transactions Act 25 of 2002 (ECTA), where applicable.

2. Subscription options

2.1 Monthly subscriptions

Monthly subscriptions are billed at the published monthly plan price. Customers may submit a cancellation request at any time.

Unless applicable law requires otherwise, cancellation stops future renewals, and access continues until the end of the paid billing period or the effective cancellation date, whichever is applicable under the agreement.

No pro-rata refund is ordinarily provided for the unused portion of a monthly billing period, except where required by law or approved by in2books.

2.2 Annual subscriptions

Annual subscriptions are priced on the basis of 11 paid months for 12 months of service. The customer receives one month of service free as part of the annual offer.

The annual subscription price is therefore calculated as:

Annual subscription price = ordinary monthly subscription price × 11.

The free month is conditional on the annual subscription arrangement and does not create an entitlement to a separate cash refund.

Where an annual subscription is cancelled before completion, the early-cancellation calculation in section 4 applies, subject to applicable consumer law.

3. How to cancel

Customers may submit written cancellation requests to accounts@in2books.co.za using the email address associated with their in2books account.

The request should identify the account holder, registered email address and subscription plan. Customers do not need to provide a reason for cancellation.

in2books will acknowledge the request and confirm the effective cancellation date and any applicable cancellation calculation.

Where section 14 of the CPA applies to a fixed-term consumer agreement, the customer may cancel before expiry by giving 20 business days' notice in writing or another recorded form. Amounts lawfully due up to cancellation and any reasonable, lawful cancellation charge remain subject to the CPA and its regulations.

Where cancellation is requested at the end of a fixed term, any applicable statutory rights to cancel without a cancellation penalty will be respected.

4. Annual subscription cancellation calculation

Where an annual subscriber cancels before completing the 12-month service period, in2books will calculate the value of the service used and any lawful cancellation charge before determining the refund, if any.

4.1 Value of service used

For this calculation, each month or part of a month during which the subscription has been available for use counts as one full month at the ordinary monthly subscription price.

For example, if a plan costs R99 per month:

Service period usedService value
1 dayR99
10 daysR99
29 daysR99
1 month and 1 dayR198
2 months and 5 daysR297

The calculation includes the period up to the effective cancellation date, including any applicable notice period during which the subscription remains available.

The whole-month rounding rule is intended to establish the value of service used for the cancellation calculation. It will not be applied where doing so would conflict with a mandatory statutory right or result in an unlawful or unreasonable charge.

4.2 Cancellation charge and affiliate commission

Where an affiliate referred the customer, the relevant affiliate commission may be considered when determining the cancellation charge.

A commission deduction may be made only to the extent that it is legally permissible, reasonably justifiable and properly disclosed. In particular, a deduction for affiliate commission must take account of whether the cost was actually incurred, whether it is recoverable from the affiliate, and whether including it would produce a reasonable and proportionate cancellation charge.

Affiliate commission will not be deducted where doing so would unlawfully reduce a refund due under a mandatory cooling-off right or another non-excludable consumer protection.

The same cost will not be deducted twice. Any commission reversed, refunded or recovered from the affiliate must be taken into account when determining whether a further deduction is justified.

4.3 Refund formula

Subject to applicable law, a preliminary annual-subscription refund calculation is:

Refund = annual subscription payment received − value of service used − lawful cancellation charge.

The value of service used is calculated under section 4.1. The lawful cancellation charge under section 4.2 may include an eligible, non-recoverable affiliate commission where justified.

The total deduction will not exceed the amount that may lawfully be retained. The refund will not be less than zero, and this policy does not create an automatic right for in2books to collect an additional cancellation penalty merely because the calculation produces a negative balance.

Where the calculation or a deduction would be unlawful or unreasonable, the amount retained will be adjusted to comply with applicable law.

5. Cooling-off rights and statutory refunds

Where section 44 of ECTA applies to an electronic transaction for services, a consumer may cancel within seven days after conclusion of the agreement without giving a reason and without a cancellation penalty. Where payment has been made, the applicable statutory refund must be processed within 30 days of cancellation.

A statutory cooling-off refund will not be reduced by the ordinary service-use calculation or an affiliate commission deduction where the law requires a full refund.

Other statutory cancellation rights, including any applicable rights relating to direct marketing, defective performance, service failures or unfair contract terms, remain unaffected.

6. Refund processing

Where a refund is due, in2books will calculate the amount in accordance with this policy and applicable law and communicate the calculation to the customer.

Refunds will be made to the original payment method wherever reasonably practicable. If that is not possible, an alternative method may be agreed with the customer.

Refunds will be processed within the period required by applicable law. Where no specific statutory deadline applies, in2books will aim to process an approved refund within 30 days.

7. Annual renewal and expiry

Where section 14 of the CPA applies to an annual fixed-term consumer agreement, in2books will comply with the statutory requirements concerning notice before expiry and continuation after the fixed term.

This includes providing the required notice of impending expiry between 40 and 80 business days before the expiry date and advising the customer of the available options, where required by law.

On expiry, the agreement will continue on a month-to-month basis unless the customer directs termination or expressly agrees to a further fixed term, as provided for in section 14 of the CPA.

8. Customer data

Customers should export or download their business records before their subscription ends, using the export functionality available in their account.

Following cancellation, access to subscription features may be disabled. Any retention or deletion of customer data will remain subject to applicable law, contractual obligations and in2books' privacy policy.

Customers who need assistance with their records should contact accounts@in2books.co.za before their effective cancellation date.

9. Unpaid balances, suspension and termination

Cancelling a subscription does not extinguish amounts that were lawfully due before the effective cancellation date.

in2books may suspend or terminate access for non-payment or a material breach, subject to applicable law and the notice or opportunity to remedy the breach required by the relevant agreement or law.

A suspension or termination by in2books does not remove any consumer remedy that may be available under applicable law.

10. Complaints and disputes

Customers who disagree with a cancellation calculation or refund decision may contact accounts@in2books.co.za and request a written explanation of the calculation.

in2books will review the complaint and correct any error identified. Nothing in this policy prevents a customer from referring a dispute to a competent consumer-protection body, ombud or court where appropriate.

11. Changes to this policy

in2books may update this policy from time to time. Material changes will be communicated where required by law or the customer agreement. A change will not retrospectively remove a right that a customer has already acquired under applicable law.

12. Governing law

This policy is governed by the laws of the Republic of South Africa. If any provision conflicts with a mandatory legal requirement, the applicable legal requirement will prevail and the remaining provisions will continue to apply to the extent permitted by law.
